Job Description
Job Summary
Assists the Director of Research Doctoral Studies in the operation and execution of the office in order to efficiently and adequately service the students and faculty of Southwestern Baptist Theological Seminary.
Key Responsibilities
Maintains a wide variety of confidential fiscal, academic, personnel, student, and administrative records.
Process stipends and honoraria for faculty each semester.
Processes purchases requisitions and orders, travel requests, and reimbursements.
Assists with monitoring expenditures and income against budgets, maintains accurate accounting ledgers, and facilitates reconciliation of accounts.
Assists faculty, students, and appropriate departments with communication of RDS office policies, procedures, expectations, and guidelines.
Acts as a liaison between administrator and staff.
Acts as liaison between faculty, staff, students, subordinates, other departments and the RDS office.
Responsible for inter-departmental communication with other institutional offices, students, faculty, and staff.
Compiles statistical data and prepares various written assessments concerning the state of the RDS program.
Manages and assists in the development of processes and procedures for efficiency and maximum effectiveness.
Assists in the planning, coordination, and organization of the annual RDS orientation.
Assists in the planning, coordination, and staffing of RDS events as needed for outreach, recruitment, and retention (e.g. scheduling and coordinating prospective student interviews, entrance exams, proctoring of exams, etc.)
Assists students with submission of prospectuses and communicating outcomes.
Coordinates the scheduling of student comprehensive exams and dissertation defenses.
Coordinates with the Office of the Registrar, Library, and other departments to assist students with the graduation requirements and process.
Provides general program information and materials to students and/or directs students to the appropriate student services resource.
Manages, coordinates, and maintains the needs of the RDS Commons room.
Orders departmental supplies and maintains control of supplies and inventory.
Organizes and schedules travel and meetings for departmental personnel.
It is the employee and supervisor’s shared responsibility to regularly meet to discuss performance, suggest job description updates and set mutually beneficial goals.
Perform additional tasks and responsibilities as assigned to support the team and institutional goals.
